Cancellation Policy

Booking & Event Policy Payment & Reservations • Full payment is required at checkout to reserve your event date and time. • Once payment is received, your event date is removed from our calendar and reserved exclusively for your booking. • All payments made to Dart Wars 2U are non-refundable. Reschedules & Cancellations (Non-Weather) • One reschedule is permitted per booking if requested at least 7 days before the event date. • Approved reschedules must be scheduled within 30 days of the original event date and are subject to availability. • Requests made within 7 days of the event, including same-day cancellations or reschedule requests, will result in forfeiture of payment. A new booking and payment will be required. • If a reschedule is requested but a new date is not selected before the original event date, the booking will be treated as a cancellation and payment will be forfeited. • Multiple reschedule attempts intended to avoid loss of payment are not permitted. Additional changes require a new booking and payment. • If you cancel instead of rescheduling, all payments are forfeited. Weather Policy • We monitor weather conditions daily and make final weather-related decisions approximately 24 hours before the event. • Clients may provide an indoor backup location (required for winter bookings) or reschedule within 30 days using available dates. • Weather-related cancellations without rescheduling are non-refundable. • To avoid forfeiture of payment, clients must either provide an indoor option or secure a new available date. No Refund Policy • Due to scheduling, staffing, equipment preparation, travel, and blocked calendar availability, all payments made to Dart Wars 2U are non-refundable. • This applies to cancellations, no-shows, last-minute changes, failure to communicate, or failure to secure a rescheduled date within the required timeframe. • By completing your booking, you acknowledge and agree to this policy. Headcount Policy • Headcount is based on the package selected at booking. • Guest substitutions may not be used to bypass package limits. • Every signed waiver counts toward total participant count and overage calculations. No-Show & Communication Policy • Booking confirmations are emailed immediately after checkout. Please check Spam or Junk folders if not received. • Reminder emails are sent prior to your event date. • Clients are responsible for providing accurate contact information. • We do not travel to events unconfirmed.
